The Operations Manager position is responsible for overseeing the daily administrative and back-office operational functions of the organization. This includes leading, developing, mentoring, and coaching teams and processes related to order entry, inventory control, purchasing, customer service, and data management. This role is responsible for identifying inefficiencies, implementing process improvements, and ensuring all back-office activities align with company goals for profitability and customer satisfaction.

Responsibilities of the role:

Process management and improvement:

  • Analyze, develop, and implement operational procedures to streamline back-office workflows, improving efficiency, accuracy, and speed.
  • Monitor and manage backend processes to minimize disruptions and optimize the flow of goods and information.
  • Drive continuous improvement initiatives using methodologies like Lean or Six Sigma.

Inventory and purchasing:

  • Oversee purchasing departments. Monitor inventory control processes, including stock levels, cycle counts, and forecasting, to reduce discrepancies and minimize costs.
  • Oversee the planning, organization, and execution of warehousing and transportation of goods and services.

Team leadership and development:

  • Hire, train, and supervise back-office staff, providing coaching and motivation to achieve departmental goals.
  • Foster cross-departmental communication and collaboration to ensure seamless business execution.

Customer service:

  • Address and resolve customer complaints related to orders, billing, and deliveries to ensure high customer satisfaction.
  • Work with the sales and service teams to set and meet daily and quarterly performance goals.

Financial oversight:

  • Manage to an operational budget and report financials for back-office functions.
  • Generate and present KPI’s and performance reports to key stakeholders.

System management and technology:

  • Oversee and maintain the back-office technology stack, including service software and enterprise resource planning (ERP).
  • Support the integration of new technologies to improve process efficiency.

What you will need:

  • Bachelor's degree in Business Administration, Operations Management, Supply Chain, or a related field is preferred.
  • 5+ years of experience in an operations management role, preferably within an industrial distribution environment.
  • Proficiency with ERP and MS Office software with a focus on Microsoft Excel, along with strong computer skills.
  • Possess effective problem-solving skills and can resolve employee relation issues.
  • Demonstrate solid organizational skills with the ability to multi-task and is a self-starter.
  • Ability to effectively communicate, both in writing and verbally, with people of various educational and technical backgrounds, both inside and outside the company.
